Workflow Management
Business Process and Data Quality Management

Advantages of workflow management
Function Overview
User-specific working environments
Many users at different locations are often involved in the data maintenance process. These people include power users who work with the system on an almost daily basis as well as occasional users or users from the marketing and sales departments who use the information to create InDesign, Word, Excel or PowerPoint documents. Depending on the requirements of these users, crossbase offers a customized working environment.
Data maintenance solutions
Access control
The basis for data maintenance is access control via user roles and rights. These settings are maintained by the administrator. Access is defined on the basis of function and object rights. Access can be differentiated globally at product level down to content level. Users can also log into the system using single sign-on (SSO).
Business Process Modeling (BPM)
BPM module
With the BPM module, processes can be configured and visualized using a graphical editor. In particular, data maintenance and translation processes can be mapped transparently, such as the creation of new articles via the interface to the ERP system in the PIM. By standardizing the processes, data maintenance can be designed effectively and clearly.
BPM Editor
Processes can be mapped in a structured way using the BPM editor. Symbols can be selected, arranged, connected via arrows and parameterized in the BPM editor.
Data Quality Management (DQM)
With the DQM module, the user can evaluate the completeness of data maintenance and translation and display the progress graphically for an entire product area. The basis is formed by mandatory fields and CAN fields that are defined beforehand. Missing information can then be added using the maintenance wizard. In addition, the output context can be defined (e.g. online store). This allows you to check during data maintenance whether all relevant information for a specific output channel is complete.
Workflow engine and task list
The workflow engine continuously monitors the processes in the background and creates tasks or removes completed tasks. The tasks are assigned a status. The administrator can view this status in the BPM editor. In the task list, the generated tasks are displayed user-specifically with object, task, date of receipt, requested date and description of the task. The tasks can be processed immediately via a direct link. As soon as the task has been completed, the workflow engine recognizes this and continues the process.
Product preview
A product preview can be requested at the touch of a button. This is integrated directly into the user interface and is displayed using selectable HTML templates. The product preview can be saved as a PDF. The previews are created using predefined templates with a graphical editor. Missing content can be quickly identified using color-coded areas.
Correction workflow and traffic light switching
Corrections to product information do not have to be collected in PDF files or screenshots, but can be adjusted directly in the PIM. In electronic media, the information is updated automatically. In print media, the update takes place the next time the InDesign documents are produced. This is supported by the traffic light system, which logs, outputs and displays this in color. The layout designer can therefore see at a glance which pages need to be checked and updated.
