Working Independently After PIM Implementation: Benefits and Prerequisites

The introduction of a new—or the replacement of an existing—Product Information Management (PIM) system typically marks a turning point in a company’s product data management and, of course, in all related processes. In my view, a system becomes particularly valuable when, after the implementation phase, it enables teams to work largely independently. In this context, autonomy does not mean having to do without support. Rather, it is about empowering internal teams while still being able to rely on an experienced partner when needed. Departments such as marketing, product data management, and sales can thus operate flexibly and without constant external support.
I would like to explain the key advantages—and why both the software itself and the software vendor play a decisive role here—in the following.
Key Benefits of Self-Sufficient Work
1. Faster creation of sales documents and marketing materials
With a properly equipped PIM system, internal teams can largely create and generate sales documents such as data sheets, catalogs, or price lists on their own. Thanks to centralized data management, pre-designed templates, and flexible software (more on this below), layouts and content can be customized without having to rely on agencies or the software vendor or implementer every time.
2. Flexible and Fast Data Export
Self-sufficient use also means that exports for relevant output channels (e.g., online stores, marketplaces, trade partners, or other internal systems) can be configured and populated independently. Whether CSV, XML, or other internal, specific formats—qualified users can independently adjust filters, attributes, and structures. This enables timely updates and a high level of responsiveness to market or customer requirements.
3. Reduced Dependencies and Lower Operating Costs
Fewer support requests to external service providers or the manufacturer lower operating costs in the long term. When layout rules are created and customized independently and without programming knowledge, no costs are incurred, and flexibility in the face of changes (which are, by nature, a daily occurrence) is maintained. Internal teams gain autonomy, which boosts their motivation and can accelerate processes.
4. Greater Identification and Development of Internal Solution Expertise
In addition to the technical aspects, the human factors should not be underestimated: Employees who work independently with the PIM identify much more strongly with the system and the company’s own processes. They develop a deeper understanding of the system’s data structures and capabilities. This creates a valuable link between the internal product knowledge of the specialist departments and the technical capabilities of the PIM system. Employees become true “power users” who not only maintain data but also develop creative solutions for new requirements. This fosters innovation from within and makes the company as a whole more agile.
5. Greater Agility in Day-to-Day Operations and Better Investment Security
New products or variants can be prepared and published more quickly. Marketing campaigns, regional adaptations, or personalized materials can be implemented in-house. This shortens time-to-market and improves collaboration between departments. A system that promotes independent work grows alongside the company. Custom configurations are preserved during updates, and new requirements can be addressed internally without the need for major follow-up projects.
What requirements must be met?
For independent work to be a realistic possibility, both the software and the manufacturer play a crucial role.
Software requirements:
- No programming required for layout adjustments: The system should offer powerful, visual tools that allow users to independently customize layouts for print and digital media—for example, using graphical editors, templates, and rule-based automation.
- Freely configurable data exports: Users must be able to set up and manage exports, filters, attribute mappings, and formats on their own without developer support. This enables flexible adaptations to different channels and partner requirements.
Vendor Requirements:
A vendor that aims to enable true self-sufficiency goes far beyond simply delivering software. Key factors include:
- Comprehensive knowledge transfer and training program: Good vendors offer structured training sessions, workshops, and detailed documentation specifically tailored to different user roles (e.g., power users vs. standard users). The goal is for internal teams to be able to independently implement new configurations and resolve issues after the implementation phase.
- Reliable, partnership-based support: Dedicated contact persons with clearly defined response and resolution times are essential. The goal of support is to empower customers while also providing fast and competent assistance with new requirements or specific issues. This involves a partnership-based collaboration rather than a long-term dependency.
Direct access to the vendor without many intermediaries speeds up collaboration and builds trust.
- Transparent and update-safe further development: Regular releases with a clear roadmap and the guarantee that individual configurations will be preserved during updates. This allows companies to invest securely for the long term and utilize new features with minimal effort.
- In-depth industry and process knowledge: The manufacturer should understand the specific challenges (e.g., products with many variants, complex attribute structures, international requirements) and contribute best practices that promote genuine customer autonomy.
In summary, working independently with a PIM system transforms product data management from a bottleneck into a strategic advantage. It reduces costs, increases speed, fosters the development of internal expertise, and gives teams the freedom to act creatively and in a customer-focused manner. However, the key to success lies in choosing software and a vendor that enable precisely this autonomy through intuitive tools, flexible architecture, and flexible support.
Companies that take these requirements into account will benefit in the long term from more efficient processes, greater independence, and a stronger foundation of product knowledge throughout the entire organization.
A software vendor that enables its customers to work independently but does not leave them on their own when needed is the best foundation for this.
