Make effective use of information in the ERP system for marketing

The marketing department needs large amounts of up-to-date information from the ERP system, for example for e-commerce, price lists and sales partners.

crossbase has experience of connecting to a number of ERP systems, such as SAP (more than half of crossbase customers use SAP), Axapta, Navision, proALPHA, Infor LN or abas. Furthermore, data can easily be imported manually from Excel.

The ERP system mainly serves as a source of item numbers, item master fields, basic texts, product hierarchies, catalog ranges and prices, but also in some cases technical product features and product relationships (including parts lists and spare parts). The product status is also transferred, i.e. information as to whether the item is approved for sale or not, e.g. because it is still being developed, has been discontinued or is blocked.

You can find references on using the data import module here: Examples of best practice: Data import

Main module

Module description

crossbase is an open system and has an XML standard interface for importing data from upstream systems. Data such as item numbers, brief texts and prices can be imported into the PIM database automatically at defined times. Furthermore, data requiring maintenance in the PIM system can also be transferred back into the ERP system.

Automatic import of item master data

The item master data can be imported into the product database either as a complete import overnight or as a needs-based web service, e.g. for a changed set of items. XML format is used for the exchange of data. Excel files can be imported manually, for instance for initial data import or for product and price data from international subsidiaries.

Data preparation in XML and Excel format

Data can be entered via the user interface or imported using what are known as standard set types. There are more than 30 set types, each with an XSD-defined (XML schema definition) template for XML or Excel (XLSX).

Two-way data exchange

As well as importing ERP data into the PIM system, item-related data can be transferred back to the ERP system from the PIM system. This can, for example, include multi-lingual sales texts or basic data texts that can then be used for quotations, order confirmations, invoices and delivery notes, etc.
